UCFB Atlanta Sports Summit – Terms and Conditions

1. Payment for the UCFB Atlanta Sports Summit includes accommodation at our chosen accommodation partners. UCFB is acting as an intermediary between Summit attendees and our accommodation partners. As such all attendees are subject to the booking terms and conditions agreed between UCFB and our accommodation partners. UCFB will not be held liable for the actions, processes, terms and conditions of our accommodation partners.

2. Payments to UCFB for the accommodation for the Sports Summit are non-refundable.

3. Once a student or alumnus has made their payment to UCFB for their accommodation, it is their responsibility to ensure they have the financial capabilities to pay for all travel arrangements, visas, food, drink, city experiences and general spending money. UCFB is not responsible for ensuring any Summit attendees have sufficient funds for any of the above listed costs or other costs not listed here.

4. Current UCFB students are responsible for ensuring that they do not have any course deadlines or activities that conflict with the Atlanta Sports Summit. Every effort will be made by UCFB to ensure there are no conflicting exams, deadlines or course activities at the time of the Summit, however it is the responsibility of the student to confirm this prior to booking.

5. Places on the Summit are limited and UCFB reserves the right to close booking for the Atlanta Sports Summit at any time. Whilst a booking deadline has been set, if all spaces are taken before this deadline then UCFB will close booking and will not be receiving further payments.

6. UCFB will not be responsible for any travel-related issues of Summit attendees. It is the responsibility of all Summit attendees to source and pay for their own travel arrangements to attend the Summit. UCFB is happy to assist all attendees with their travel arrangements by providing logistical details of the days and times the Summit will be taking place, however it is the responsibility of the attendee to ensure that they adhere to these timings.

7. If a student or alumnus chooses to book their travel through our recommended travel agent Fairway Travel as advertised on the UCFB website, then any travel arrangements made are subject to the booking terms and conditions of Fairway Travel. UCFB assume no responsibility for any travel or experiences booked with Fairway Travel.

8. A student or alumnus is not booked on to the Summit until they have made their payment for accommodation to UCFB via the UCFB Online Shop, and have had email confirmation from a member of the UCFB team to inform that their place is confirmed on the trip. The automated email from the UCFB Online Shop confirming that the payment has been made does not constitute confirmation of a place on the Summit. UCFB therefore advises students not to book any travel arrangements for the Summit prior to receiving this email confirmation.

9. Attendees to the Sports Summit will be expected to conduct themselves in a manner befitting a UCFB student and to the UCFB student Code of Conduct. For the benefit of other Summit attendees, UCFB reserves the right to remove any attendee from the Summit if it is felt this standard is not being upheld.

10. The UCFB Sports Summit is for UCFB students, alumni, and official guests of UCFB only.

11. Once a place on the Summit is confirmed, it is the responsibility of the attendee to ensure they are present on Day 1 of the Summit at the communicated times. UCFB will make every effort to assist inbound attendees and to ensure they do not miss out on anything, however timings are the responsibility of the attendee.

12. As above, attendance at the correct place and time throughout the Summit is the responsibility of the attendee. UCFB will provide a detailed schedule ahead of the Summit which will contain logistical information, and lines of communication between UCFB staff and attendees will be set up to ensure attendees have all the information they require to be able to attend every session and activity.

13. UCFB will be confirming a schedule of speakers and activities prior to the Summit, and will be communicating this to all confirmed attendees. Schedules are subject to change however and UCFB reserves the right to do so.

14. It is the responsibility of the attendee to ensure they can travel to the US and to any countries in which they stop at as part of their journey to the Summit. Attendees must ensure their passports are valid, they have the necessary documents and meet the relevant entry requirements set out by the US government. Refunds will not be given by UCFB if an attendee fails to comply with their relevant visa regulations. It is the responsibility of every attendee to check to see if they can travel to the US prior to making their booking with UCFB.

15. When physically at our accommodation in Atlanta, and when visiting various locations the US as part of the Summit, attendees must adhere to the rules and policies pertaining to those locations.

16. It is the responsibility of the attendee to source and pay for travel insurance for when attending the Atlanta Sports Summit.

17. Some live sport experiences will form part of the Summit, and UCFB will be providing access to these activities for attendees free of charge. UCFB reserves the right however to change this if there are changes outside of our control with our sports partners.

18. UCFB shall not be responsible for any failure to deliver any part of the Summit due to an Event Outside Our Control. If an Event Outside Our Control takes place which affects the Summit, UCFB will notify all attendees as soon as reasonably possibly and will resume Summit activities as soon as possible.

19. Students and attendees will attend the UCFB Atlanta Sports Summit at their own risk. UCFB is not responsible for loss of expense due to war, riots, strikes, terrorism, natural disasters, or bankruptcies (or similar) of unconnected third parties. UCFB is not liable for any injury, damage, loss, accident, delay, or other irregularity which may be caused by defect of any vehicle or other equipment, other than its own, or the negligence or default of any company or person engaged in carrying out or performing any of the services involved, other than our own staff.

20. Attendees are responsible for their own safety whilst in the US and assume full responsibility for all risks associated with their travel.

21. A student or alumnus can only book this opportunity for themselves and is limited to one entry.

22. Attendees will be unable to give their space to someone else once they have made their booking with UCFB. Once payment has been made for their accommodation then only that person can take that space.

23. In purchasing the accommodation from the UCFB Online Shop, students and alumni automatically accept these Terms and Conditions. Attendees RELEASE, WAIVE, DISCHARGE AND COVENANT NOT TO SUE UCFB, its trustees, directors, agents or employees from any and all liability, claims, demands, actions and causes of action whatsoever arising out of or any relating to any loss, damage or injury, including death, that may be sustained by them, or to any property belonging to them, while travelling to the US or when in the US.
